Seamen’s Church Institute of Newport is hiring a full time Director of Finance, Human Resources & Operations. Located on Bowen’s Wharf, Seamen’s is a 100-year-old non-profit whose mission is “to protect, preserve and enhance the maritime culture of Newport and Narragansett Bay by providing education, hospitality and safe haven for those who work, live and play on or by the sea.” This position is an integral part of the organization and requires someone with the ability to balance a multi-faceted organization with varied revenue streams.


Accounting & Finance

  • Analyze costs, budgets, and other financial data to prepare financial reports and recommend cost saving measures
  • Maintain fixed asset schedules, restricted funds schedules, investment rollovers, functional allocation of expenses.
  • Ongoing assessment of performance by business segment against budgets
  • Preparation of month, quarter and year-end financial reports and statements as well as presentation of reports and analysis to Board.
  • Oversee & organize the annual audit/taxes/financial stat and serve as primary liaison with the independent auditors/accountants, including oversight of 990 preparation.
  • Analyze and create internal control policies, implement and enforce financial policies
  • Analyze costs, budgets, and other financial data to prepare financial reports and recommend cost saving measures
  • Ongoing assessment of performance by business segment against budgets
  • Grant management, proper allocation of and use of grant funds and grant reports
  • Ensure accounts, ledgers and reporting systems comply with GAAP
  • Manage organizational cash flow and forecasting
  • Accruals, prepaids, restricted funds tracking/release & applicable accounting entries
  • Reconciliations; Bank, 941’s, payroll, accrual accounts, etc.
  • Maintain relationships with key contacts; banks, insurance, payroll, etc.
  • Preparation of financial statements; income statement, balance sheet, trial balance
  • Review General Ledger and make adjusting entries as needed
  • Lead annual budgeting and planning process (with Executive Director and Board Treasurer)
  • Prepare functional allocation of time and expenses
  • 1099 and 1096 tax form preparation and filing
  • Bookkeeping Functions; Enter donations, payments, expenses, pay bills in QuickBooks
  • Ordering; research prices and order supplies/equipment


Human Resources

  • Continuous evaluation and improvement of HR policies and offerings
  • Recruiting; job postings, resume reviewing, interviews, reference checking, research candidates, offer letters
  • When appropriate: performance evaluations, hiring, firing, warnings.
  • Track paid time off
  • Mediate employee issues
  • Create/maintain employee work schedules


Warming Centers

  • Communication with Fire Chief and other community partners
  • Annual volunteer training, recruit and schedule all volunteers
  • Track income and expenses
  • Preparation of all paperwork, coordinate logistics & cleanup
  • Ensure follow-up and acknowledgements



  • Oversee daily and long-term maintenance, repairs and capital projects
  • Qualify bids and contracts for work related to the building for Board approval
  • Maintain external vendor relationships, solicit and evaluate financial and operational proposals and contracts.
  • Train, schedule and supervise facility cleaning and maintenance staff
  • Ensures standards of cleanliness throughout the building
  • Identifies Seamen’s property, equipment or structure in disrepair and suggests solutions for repair or replacement
  • Calls appropriate vendors for equipment repair and maintenance, negotiates fair pricing and ensures proper completion of work
  • Manages daily “blowdown” of the boiler
  • Maintains a facility manual recording useful information regarding installation and maintenance of major equipment, wiring, plumbing and heating
  • Ensure general handyman tasks such as painting, replacing light bulbs, furniture and equipment repair are completed
  • Be the 24/hr contact for subcontractors and vendors, serve as emergency contact for Police/Fire/Alarm
  • Negotiate and manage lessee relationships
  • Serve as contact for all insurance matters; solicit quotes, maintain records, file claims, maintain relationship with insurance agents.
